PART A — PRIVACY POLICY
Information we collect
We collect personal information reasonably necessary to respond to enquiries, organise work and deliver our services. This may include:
• Your name, business or organisation name, and contact details.
• Service addresses, billing details and authorised contact persons.
• Relevant property, equipment and site-access information.
• Quotes, bookings, invoices, payment records and correspondence.
• Inspection results, test records, service reports and photographs relevant to the work.
• Feedback, complaints and information needed to resolve them.
Please do not provide unnecessary sensitive information, such as medical details or identity documents. Where sensitive information is reasonably necessary, we will explain why and seek consent unless the law permits otherwise.
How we collect information
We generally collect information directly from you through customer forms, phone calls, emails, messages and visits to your property.
We may also receive information from an authorised representative, property manager, referring organisation or another person involved in arranging your work.
If you provide someone else’s personal information, please ensure you are authorised to do so and make them aware of this policy.
You may make a general enquiry without identifying yourself. However, without relevant contact, site or billing information, we may be unable to provide a quote, arrange access or complete a booking.
How we use information
We use information to:
• Prepare quotes and manage bookings.
• Communicate about your work and coordinate site access.
• Perform services and prepare reports.
• Arrange agreed materials, contractors and other services.
• Process payments and manage accounts.
• Maintain service histories and provide relevant maintenance or retesting reminders.
• Respond to feedback, complaints and disputes.
• Meet applicable legal, recordkeeping and insurance obligations.
Tagair Safety and TT Regional use shared administration and customer records for these purposes.
We do not sell or rent your personal information.
Who may receive information
Where reasonably necessary for these purposes, we may share relevant information with:
• Our authorised employees and administrative support personnel.
• Contractors and tradespeople involved in your work.
• Your authorised representatives.
• Providers of booking, customer management, accounting, payment, communication and cloud-storage services.
• Accountants, insurers, legal advisers and debt-recovery providers.
• Regulators or other parties where disclosure is required or authorised by law.
We limit information shared to what is reasonably necessary for the relevant purpose.
Overseas access and storage
Our authorised administrative support personnel in the Philippines may access customer information to manage enquiries, bookings, correspondence and accounts.
Our software providers may also process or store information outside Australia, including in [insert other countries identified from your providers’ arrangements].
We take reasonable steps to select appropriate providers, restrict access and protect information handled overseas. Contact us if you would like further details.
Photographs and service records
We may take photographs reasonably necessary to record site conditions, identify defects, demonstrate completed work or support reports and insurance matters.
We aim to avoid capturing people, private documents and unrelated personal belongings.
We will seek separate permission before using identifiable customer photographs, testimonials or property images for advertising or social media. Permission for promotional use is not a condition of receiving our services.
Marketing
We will seek your permission before sending promotional emails or text messages. You may withdraw that permission at any time using the unsubscribe option or by contacting us.
Opting out of marketing does not prevent communications necessary to manage your enquiry, booking, invoice or existing service arrangement.
Security and retention
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, alteration or disclosure. These include restricting access to people who need it and using appropriate account and device security.
We retain information for as long as reasonably necessary for service delivery, recordkeeping, legal obligations and legitimate dispute or insurance purposes. When no longer required, we take reasonable steps to securely destroy or de-identify it.
If a data breach occurs, we will assess and respond to it and notify affected people and regulators where required by law.
Access, corrections and complaints
You may contact us using the details above to request access to your personal information, ask for a correction or raise a privacy concern. We may need to verify your identity before releasing information.
We aim to respond within 30 days. If we cannot meet your request, we will explain why and any available next steps, subject to applicable law.
If you are dissatisfied with our response, you may contact the Office of the Australian Information Commissioner at www.oaic.gov.au. Its ability to investigate will depend on whether the matter falls within its jurisdiction.
Updates to this policy
We may update this policy when our information-handling practices change. The current version will be available on request and, where published, on our websites. Where required, we will notify you of significant changes or seek fresh consent.
PART B — TERMS OF SERVICE
Agreeing to work
These terms apply when provided to you before you accept our quote or booking and you agree to proceed.
The agreed quote or written booking confirmation identifies the scope, price or charging basis, and any special conditions. Agreed job-specific conditions take priority over these general terms where inconsistent, subject to applicable law.
Signing a customer registration form does not, by itself, authorise unspecified work or charges.
You confirm that you are authorised to arrange the work and approve access to the property or equipment concerned.
Quotes and pricing
Quotes are valid for the period stated on the quote. If no period is stated, please confirm pricing before booking.
A fixed quote covers only the work described. An estimate is an indication of expected cost and is not a fixed price.
For work charged by time, item or quantity, the applicable rate and any minimum charge will be disclosed before you agree to proceed.
Quotes will clearly identify GST and any travel, materials, disposal or other charges. No additional charge applies unless disclosed and agreed beforehand or otherwise permitted by law.
Changes and unexpected conditions
If you request additional work, or we discover conditions that affect the agreed scope, cost or timing, we will explain the issue and obtain your approval before carrying out chargeable additional work.
Variations may be agreed by email or text message.
If approval cannot be obtained, we may pause the affected work and take reasonable steps to leave the site safe. We will discuss the available options with you.
Access and site safety
You agree to provide agreed access and tell us about known hazards or restrictions relevant to the work, including asbestos, unsafe wiring, concealed services, fragile surfaces, aggressive animals or restricted areas.
Please keep children and pets clear of the work area and arrange any permissions needed for access.
Any required use of your power or water will be discussed when arranging the work.
We may pause or decline work where conditions are unsafe, required permissions are missing, or the work is outside our qualifications or lawful scope. We will explain the reason and discuss the next steps.
Bookings, delays and cancellations
Please give as much notice as possible if you need to cancel or reschedule.
Any cancellation or failed-access charge must have been disclosed and agreed before booking. Such charges will be limited to reasonable, unavoidable loss arising from the cancellation or failed access, after allowing for costs saved or recovered.
Deposits are not automatically non-refundable. Any amount retained must be justified under the agreed terms and applicable law.
We will notify you promptly of delays caused by weather, unsafe conditions, illness, supply problems or other circumstances affecting the work.
If we cancel and cannot arrange a suitable alternative, we will refund payments for services not supplied, subject to your additional rights under law.
Payments
Unless otherwise agreed in writing, invoices are payable within seven calendar days of the invoice date.
Any deposit or progress payment must be agreed before work begins and comply with applicable legal limits.
If you believe an invoice is incorrect, please contact us promptly so we can investigate. Any undisputed amount remains payable by its due date.
For overdue undisputed accounts, we may pause future work after reasonable notice and an opportunity to resolve the matter. Any debt-recovery costs sought must be reasonable, actually incurred and legally recoverable.
Service scope and limitations
Test and tag: Results record the condition of the items inspected and tested at the time of service, within the agreed scope. A passing result does not guarantee that an item will remain safe until its next test. Items identified as unsafe should be removed from use until appropriately repaired or replaced.
Rangehood and extraction cleaning: Work covers the components and accessible areas specified in the quote. Inaccessible ductwork, repairs, upgrades and certification are included only where expressly agreed. Cleaning alone does not certify the entire installation as compliant.
Pool services: Results reflect conditions at the time of testing. Water conditions can change with weather, usage and other factors. Ongoing monitoring and maintenance remain necessary.
Property maintenance, cleaning and projects: The quote identifies the work and intended outcome. We will explain known limitations, such as permanent staining or deteriorated surfaces, before proceeding where reasonably apparent.
These limitations do not excuse a failure to use due care and skill or restrict your legal rights.
Licensed work and other contractors
Work requiring a licence or particular qualification will only be performed by appropriately authorised people.
Where we engage a subcontractor to deliver our agreed service, we remain responsible for our contractual obligations to you.
If you are to engage another contractor directly, we will make that arrangement clear before commitment, including who is responsible for their scope, pricing and payment.
Where a prescribed building contract, statutory insurance or other mandatory documentation is required, it must be arranged before the relevant work begins. This document does not replace those requirements.
Workmanship, damage and consumer rights
We will perform our services with due care and skill and meet applicable consumer guarantees, including requirements concerning fitness for a disclosed purpose and reasonable completion time.
Nothing in these terms excludes, restricts or modifies rights or remedies that cannot lawfully be excluded under the Australian Consumer Law or other applicable legislation.
If a service does not meet an applicable guarantee, you may be entitled to rectification, cancellation, a refund or compensation, depending on the circumstances.
We remain responsible for damage or loss for which we are legally liable. Pre-existing defects, deterioration or damage outside our responsibility do not become our responsibility simply because we work at the property.
Please tell us promptly about concerns so we can assess them. A delay in reporting does not automatically remove your legal rights.
Questions and disputes
Please contact us using the details above with any service concern or dispute. We will review the matter and work with you towards a reasonable resolution.
You may seek assistance from the relevant state or territory consumer protection agency or pursue other available remedies at any time.
Changes to these terms
The version agreed when you book applies to that work. Later changes will not apply retrospectively without your agreement, except where required by law.
